How do I create and manage users in the handbook?

Modified on Mon, 12 Oct at 10:20 AM

Create users, assign roles, manage handbook access, and deactivate users.

User administration in the handbook applies only to customers who use Simployer Classic Handbook without Simployer Classic HRM. If your organization uses HRM with the employee register, create and manage users there instead of directly in the handbook.

Open user administration in the handbook

  1. Open the handbook in edit mode from the three-dot menu by selecting Edit
  2. Select Administration in the blue menu bar at the top
  3. Under Users, select Active users

Create a new user in the handbook

  1. Select + Create
  2. Enter the user's full name in the name field
  3. Enter the user's email address. The email address is used as the username when signing in
  4. Select a role. See the available roles below
  5. If your organization has multiple handbooks, select which handbooks the new user can access in access management and confirm your selection
  6. Select Save

The user is created and receives an email with sign-in information at the registered email address.

Select the correct role in the handbook

  • Administrator: Has full access to editing, users, settings, and statistics
  • Editor: Can edit and publish content but cannot access user administration
  • Reader: Can read the handbook using a personal sign-in

Deactivate a user in the handbook

  1. Go to Active users
  2. Select the checkbox to the left of each user you want to deactivate
  3. Select the black Options button above the list of names, then select Deactivate selected

Important

If the user is an Editor or Administrator in the handbook, select the user's name and remove the role before deactivating the user.

Why is the + Create button grayed out in the handbook?

There are two documented reasons why + Create may be grayed out:

  • Users must be created in the employee register in Simployer Classic HRM instead of in the handbook. Contact your internal system administrator
  • Your organization uses Simployer Portal, where all user administration must be managed. You need the HR administrator or System administrator role in Simployer Portal to create a new user or change an existing user
