Learn how to create, configure, activate, and edit contract templates and resources for templates.
This article is for users with the Contract template administrator role.
Create a contract template
Go to Templates in the left menu and choose one of the following methods:
- Import a ready-made template: Click Import template in the upper-right corner. Find the template you want and click Import. Review and edit the contract details, System Fields, and Custom data fields.
- Copy an existing template: Copy a template to retain its formatting, text, and fields. The template name must be unique.
- Paste from a document: Copy text from an existing document. Right-click and select Paste as plain text to remove the formatting.
Enter contract template details
When you create a contract template, complete the following fields:
- Name: Must be unique
- Type: Select employment contract or additional agreement
- Language: Determines the date format. Norwegian uses day.month.year, and English uses month.day.year
- Units: Select whether the contract template applies to the entire company or specific legal entities or departments. You must manually activate new departments before they can use the contract template
- Salary Details: Used with the Simployer compensation module
Add System Fields and Custom data fields to a contract template
Contract templates can contain two types of fields that you add using drag and drop.
System Fields (pink) retrieve data automatically from Simployer:
- Person, including first name, last name, address, and date of birth
- Department
- Company, including company name and organization number
- Employment, including position and employment information
- Salary, which requires the compensation module
The information must be registered for the person, department, or company before the System Fields can be populated.
Custom data fields (yellow) are fields you create for information that is not available in the system, such as probation period, notice period, supplements, and overtime conditions.
To create a Custom data field:
- Click + Add under Custom data fields.
- Enter the field details:
- Name: A short internal reference name that is visible only to the Contract template administrator
- Input title: The text displayed to the person creating the contract
- Field type: Select Text box, Text area, Dropdown, Date input, Checkbox, List (radio buttons), or Resource selector. Dropdown has a limit of 500 characters per option. Use Resource selector when the text is longer than 500 characters.
- Under Validation, select whether the field is required.
- Under Help text, add guidance when needed.
- Under Options, add the available options for a Dropdown, Checkbox, List, or Resource selector.
To change the field order, click Organize, select the icon to the left of a field, and drag the field up or down. You can also add headings to group fields.
Create and use Resources for templates
Resources for templates are used for longer text that does not fit as a Dropdown or List option.
- Go to Resources for templates under Templates in the left menu. This requires the Contract template administrator role.
- Click + New Resource.
- Enter the resource text.
- To use the resource in a contract template, create a Custom data field with the Resource selector field type.
- Under Options, search for the resource and add it.
- Click Save and place the field in the contract template.
Activate a contract template
A contract template must be active before it can be used to create contracts. Inactive contract templates do not appear in the contract creation wizard.
- Go to Templates in the Contract module.
- Find the contract template you want to activate.
- Click the Action button to the right of the contract template.
- Select Activate.
Edit an existing contract template
Only users with the Contract template administrator role can edit contract templates.
- Go to the Contract module and select Templates.
- Choose one of the following methods:
- Edit the contract template directly
- Copy the contract template and edit the copy to preserve the original
