How do you create an agreement for an employee?

Create an employment agreement or supplementary agreement, including for a position that has ended.


What do you need before creating an agreement?

  • You must have the Contract administrator role
  • The employee must have an existing position, with the employment and position registered
  • The agreement is linked to the position


How do you create an agreement for a position that has ended?

You can only create agreements for active or future positions.

To create an agreement for a position that has ended:

  1. Remove the end date from the position.
  2. Create the agreement.
  3. Add the end date back to the position.


Step 1: Select the position for the agreement

  1. Go to the employee's profile.
  2. Select Employment under About in the top menu.
  3. Open the relevant position.
  4. Select Create Employment Agreement.


Step 2: Select an agreement template and complete the fields

  1. Select the template you want to use. You can only see templates available for your legal level and department.
  2. Complete the custom fields displayed on the left. Fields marked with a red asterisk are required. Fields without an asterisk are optional, and you can decide whether to include them in the agreement.


Step 3: Preview the agreement

Review the agreement preview and make sure all information is correct.

  • Select Previous to go back and make changes
  • Select Next if the agreement is correct


Step 4: Select a signing method for the agreement

Select e-signing or manual signing.

E-signing

  • Signing Deadline: You can set the deadline to a maximum of 20 days
  • Parallel: All signatories receive the document at the same time
  • Sequential: You select the signing order. The manager appears first by default, but you can change the order using the up and down arrows
  • Attachments: You can upload files to accompany the agreement. The attachments are not signed, but the recipient must review them. After the agreement has been signed, the files are stored in a separate category for employment agreement attachments in the employee's document archive
  • Signatories: Signatories are suggested based on the position. You can change the manager if someone else should sign. The email address and phone number must be entered and are retrieved from the employee profile. The phone number must begin with +47


Important

BankID requires a separate agreement with Simployer. The employee's national identity number must also be registered in the employee profile.


Step 5: Review and submit the agreement

You have three options:

  • Create Agreement and Send for Approval: Sends the agreement for approval to the person with the Contract approver role
  • Create Proposal: Saves the agreement as a draft. You can find it on the dashboard and complete it later
  • Back: Returns to the previous step so you can make changes
